This notice explains what personal information iTrip collects, why we use it, how we protect it and the choices available to you.

Our commitment

iTrip respects your privacy and processes personal information in line with the Protection of Personal Information Act 4 of 2013 (“POPIA”). For information submitted through this website, iTrip is the responsible party: we decide why and how that information is used.

We process only information reasonably needed to respond to enquiries, prepare quotations, arrange passenger transport, administer bookings and meet our legal and operational responsibilities.

Information we collect

Depending on your enquiry or booking, we may collect your name, contact details, company or organisation, pickup and destination information, travel dates and times, passenger numbers, luggage details, itinerary, accessibility or child-seat requirements, and other information you choose to provide.

Our hosting and security providers may also process limited technical information such as an IP address, browser information, request time and security logs when you use the website.

Please avoid submitting identity numbers, passport details, payment-card information, medical records or other sensitive information through a general enquiry form. If such information is genuinely required for a service, our team will explain the appropriate secure process.

Why we use your information

We use personal information to respond to you; assess routes, vehicles and availability; prepare quotations; coordinate and deliver transport; communicate changes; maintain booking and business records; prevent misuse; and comply with applicable legal obligations.

We do not use enquiry details for unrelated direct marketing unless you have separately agreed to receive it. You may withdraw marketing consent at any time.

Who may receive it

Information is available only to iTrip personnel and service providers who need it for the purposes described above. This may include authorised drivers and transport partners, website hosting and security providers, and Microsoft 365 for enquiry-email delivery and business communications.

If you accept optional analytics, Google Analytics processes website interaction information to help us understand visits, contact-link clicks and successful enquiry journeys. Analytics remains off unless you accept, advertising personalisation signals are disabled, and form contents such as names, email addresses, telephone numbers and journey details are never sent as analytics event parameters.

We may also disclose information when required by law or when reasonably necessary to establish, exercise or defend legal rights. We do not sell personal information.

Where a provider processes information outside South Africa, we take reasonable steps to use providers and safeguards that offer an appropriate level of protection.

Retention and security

We retain information only for as long as reasonably needed for the enquiry, transport service, customer relationship, dispute resolution and applicable legal or accounting requirements. When information is no longer required, we securely delete, destroy or de-identify it where reasonably practicable.

We use reasonable organisational and technical safeguards designed to prevent loss, unauthorised access, disclosure, alteration or destruction. No internet-based system can guarantee absolute security, so please contact us promptly if you believe your information may have been compromised.

Your POPIA rights

Subject to POPIA and other applicable law, you may ask whether we hold personal information about you; request access to it; ask us to correct, update or delete inaccurate or unlawfully held information; object to certain processing; request restriction where appropriate; or withdraw consent where consent is the basis for processing.

We may need to verify your identity before acting on a request. Some information may need to be retained where the law permits or requires it.

We may update this notice when our services, suppliers or legal obligations change. The current version and effective date will always appear on this page.
